1Who we are
Explore Up And Away Trek’s & Adventures (“we”, “us”, “our”) is a Himalayan trekking and adventure company based in Uttarakhand, India, founded by Pradeep and Pooja. This policy explains what personal information we collect through this website, our booking and inquiry forms, phone calls, WhatsApp messages and email — and what we do with it.
This policy applies only to information collected by us through our own channels. It does not cover platforms operated by others (such as WhatsApp, Instagram or Google), which are governed by their own privacy policies.
2Information we collect
We only collect what we genuinely need to plan and run your trek. This includes:
- Contact details — your name, phone/WhatsApp number and email address, when you submit an inquiry or booking form, call us, message us, or email us.
- Trip details — your preferred trek or package, travel dates, number of trekkers, experience level and any special requirements you choose to share (such as dietary needs, pickup location or medical considerations relevant to the trek).
- Records of our conversations — messages and call details you exchange with us on WhatsApp, phone or email, kept so we can follow up on your plans.
- Photos — photographs taken during treks (see Section 5).
What we don’t collect: we do not ask for and do not want sensitive information such as your caste, religion, political opinions or financial account details through this website. We also do not require payment card details on this site — any payments, if applicable, are arranged with you directly.
3How we use your information
We use your information to do our job — planning safe, personalised mountain trips:
- Replying to your inquiries and putting together itineraries, quotes and route advice.
- Coordinating your booking: permits, camps, transport, guides and group logistics.
- Keeping you informed about your trek before, during and after the trip.
- Making sure of your safety on the trail — for example, sharing relevant details (such as dietary or medical needs you’ve told us about) with our trek leads and support team, strictly on a need-to-know basis.
- Occasionally, keeping in touch about trip updates or responding to your questions — only about things you’ve asked us about. We won’t spam you.
We do not sell your information. We do not use it for unrelated advertising.
4WhatsApp messages & phone calls
A lot of our guests prefer to plan their treks over WhatsApp — and that’s completely fine with us. When you message us on WhatsApp at +91 82728 89015 (or our alternative number, +91 95766 40996), your messages are handled by WhatsApp according to WhatsApp’s own privacy policy. On our side, we read, reply to and retain those conversations so we can pick up your plans where we left them.
If you’d rather not use WhatsApp, you can always call us, or write to us by email instead.
5Photos from our treks
We take photos during our treks — of trails, camps, sunrises and (sometimes) people. These photos help us tell the story of the mountains and show future trekkers what to expect, including on our Instagram page (@explore_up_and_away).
- With your permission: we will only share photos where you or your group are clearly identifiable if you’re happy for us to. You’re free to say no — and saying no changes nothing about your trip.
- You can change your mind: if you’ve agreed and later want a photo removed, message us and we’ll take it down as soon as we can.
- By others: photos shared by you on your own accounts are yours — we’ll only reshare them with your permission or when you’ve tagged us.
6Third-party services
This website and our operations rely on a small number of external services. Your information may be processed by them under their own privacy policies:
- Email & messaging: Gmail (our email, poojapooja504@gmail.com) and WhatsApp (Meta) — used to communicate with you.
- Fonts: this website loads fonts from Google Fonts; Google may receive your IP address as part of that request.
- Instagram (Meta) — only if you follow or interact with our page from this site.
- Trek logistics partners: for booked trips, limited necessary details (e.g. your name for permits, room lists for camps) are shared with our local guides, transport providers and guest-house/camp partners — only what’s needed to run your trip safely.
Just so you know: we don’t run any advertising networks on this website, and we don’t share your details with marketing companies or data brokers. Ever.
7Cookies & tracking
At the time of writing, this website does not use cookies, analytics trackers or any advertising pixels. We can see that someone visited, but not who — and we like it that way. If we ever add tools like analytics or cookies, we’ll update this policy and tell you what’s collected and why, before it happens.
Your browser may store small technical files (like cached pages or your form entries if you ask it to remember them) — those are controlled by your own browser settings, not by us.
8When we may share information
We keep your details between you and our team, except in these limited situations:
- To run your trek — sharing the necessary minimum with our guides, drivers and camp/guest-house partners (see Section 6).
- For safety or emergencies — if there’s an emergency on the trail, we may need to share details with medical services, rescue teams, local authorities or your emergency contact.
- If the law requires it — where we’re legally obliged to provide information, or to protect someone’s safety or our legal rights.
Outside of these cases, your information stays with us. We never sell or rent it.
9How long we keep it & how we protect it
We keep your inquiry and booking details only as long as it makes sense to:
- Inquiries that don’t become bookings — typically kept for a reasonable period so we can follow up, then deleted on request.
- Completed trips — kept for a reasonable period for records, repeat-booking convenience and any legal/tax obligations, then deleted.
On security: we’re a small team, so your details sit in the inboxes and accounts of Pradeep, Pooja and our team members — protected by strong passwords, two-factor authentication and good old-fashioned discretion. We don’t paste your details into spreadsheets, group chats or anywhere else they don’t need to be.
10Your rights
It’s your information. You can ask us, at any time, to:
- See it — tell you what details of yours we’re holding.
- Correct it — fix anything that’s out of date or wrong (a new phone number, for example).
- Delete it — remove your details from our records, as long as we’re not required to keep them for legal reasons.
- Stop hearing from us — ask us not to contact you again, and we won’t.
To use any of these rights, just message or email us — no forms, no fees, no fuss. We’ll act on reasonable requests as quickly as we can, usually within a few days.
A note on the law: this policy is written to align with India’s Digital Personal Data Protection Act, 2023, which gives you formal rights over your personal data, including the right to access, correct and erase it, and the right to grievance redressal.
11Children & minors
Our website isn’t directed at children, and we don’t knowingly collect information directly from children. Treks involving participants under 18 are booked and arranged through a parent or guardian, who provides the details and consents on their behalf. We may ask for age information when it matters for safety on the trail (some routes suit younger trekkers better than others).
12Changes to this policy
If we change how we handle information — for example, if we add cookies or new services — we’ll update this page and revise. Significant changes will be flagged clearly at the top of this page. The version in force is always the one published here.
